1. What is your platform about?

We are an OTA online travel marketplace connecting travelers with curated tours, activities, and experiences. Our focus is on helping suppliers reach more customers through digital exposure and seamless bookings. Learn more about our story on the About us page.

2. Why partner with us?

Unlike many large OTAs that charge high commissions and limit supplier flexibility, our marketplace is built to put suppliers first. We offer:

  • Lower commission rates – starting with a promotional 5% for the first year, among the most attractive in the market, as compared to 20-30% by other OTA big players.
  • Easy & free self-serve onboarding – join quickly with a simple & streamlined sign-up process. Upload your tours, set your prices, and start receiving bookings without long approval delays. No hidden costs, no onboarding setup fee.
  • Frequent payouts – unlike other OTAs that typically pay suppliers only once a month, we think it’s fair for you to receive your payouts on a weekly basis.
  • Greater control – you are free to manage your own prices, availability, and policies. Your tours, your rules.
  • Traveller-focused value – we encourage suppliers to set competitive, attractive rates so that travellers get better value while you retain more earnings. With fairer rates for suppliers, travellers benefit from better prices and more authentic experiences.

3. Who are your target customers?

BookTourX is built for international travellers looking to discover and book tours, activities, attractions, transfers, and other travel experiences.

Our customer audience includes:

  • Independent leisure travellers researching and booking experiences online.
  • Couples, families, solo travellers, and small groups looking for things to do at their destination.
  • Travellers planning before their trip, as well as customers looking for experiences after arriving at their destination.
  • International visitors searching for local tours, activities, attractions, day trips, transfers, and other experiences.
  • Digital-first travellers who prefer to compare options and make bookings online.

We are building BookTourX as an international marketplace and distribution channel, with customer acquisition expanding progressively across different markets and destinations.

Because we are continuously expanding our customer base, demand varies by destination, experience category, season, and market. We do not promise or guarantee a specific number of bookings to individual suppliers.

Our objective is to connect travellers with relevant local experiences while giving suppliers an additional performance-based online distribution channel with no upfront or subscription fees.

4. How do customers find your platform?

Customers discover BookTourX through a combination of organic search, experience and destination discovery, digital marketing, partnerships, and other online distribution channels.

Our customer acquisition strategy includes:

Organic search and discovery
Travellers searching online for tours, activities, attractions, transfers, and things to do can discover relevant BookTourX experiences through search engines and other organic discovery channels.

Search-intent matching algorithm
BookTourX uses technology and data-driven matching to connect customer search intent with relevant experiences. This allows customers to discover experiences based on what they are actually looking for, rather than relying solely on traditional advertising.

Destination and experience discovery
Customers can browse experiences by destination, category, activity type, and other travel-related criteria when researching what to do.

Digital marketing
We are progressively expanding our consumer marketing initiatives across our target markets, with activities designed to increase awareness, destination discovery, and bookings.

Partnerships and distribution
We are developing partnerships and additional distribution opportunities to extend the reach of experiences listed on BookTourX.

Direct and repeat visits
As the BookTourX customer base grows, travellers can return directly to the platform to discover and book additional experiences.

5. Does BookTourX guarantee customer traffic or bookings?

No. BookTourX is a performance-based distribution channel, and we do not guarantee a specific number of visitors, enquiries, or bookings for individual suppliers.

Traffic and booking demand naturally vary depending on destination, experience type, seasonality, pricing, availability, customer demand, and market conditions.

Our model is designed so that suppliers can access an additional distribution channel without upfront setup fees or subscription fees. You pay commission when a booking is successfully confirmed, so there is no cost simply for being listed on the platform.

PART II

Commercial / Financial

1. What is the commission rate?

We offer a promotional commission fee of only 5% for the first year since your onboarding date.

After this period, we will transition to a tiered commission model. The final structure is still being refined, and all suppliers will be notified via email well in advance before any changes take effect.

Rest assured, our commission will remain one of the most attractive in the market.

This marketplace was created with suppliers in mind — to help you regain fair benefits while reaching more travelers.

2. How and when do we get paid?

Earnings

Earnings for a successful booking are only generated after the booking has been fully served and completed. Once the experience is successfully delivered, your earnings will be credited to your supplier balance 7 days after the completion date. You can track your earnings & balance in the Supplier Dashboard.

This 7-day period allows time to resolve any disputes, cancellations, or customer appeals, ensuring a transparent and secure process for both suppliers and travelers.

Payouts

Payouts will be carried out upon your withdrawal request from the available balance in your account. Below is the sequence of how it works:

  • Booking confirmed → A customer books your experience.
  • Experience delivered → You provide the service as scheduled.
  • Earnings credited → 7 days after completion, the net amount is credited to your supplier balance.
  • Fund withdrawal requested → Log into your dashboard and request a withdrawal via your preferred payout method.

3. Should payments be made in USD or the local currency?

BookTourX supports multiple currencies for both customer bookings and supplier payouts.

During supplier onboarding, each supplier specifies the currency they wish to receive their payouts in. In most cases, this will be the local currency of the supplier's headquarters or primary operating business.

For example:

  • An Australia-based supplier may choose AUD.
  • A UK-based supplier may choose GBP.
  • A New Zealand-based supplier may choose NZD.
  • A European supplier may choose EUR.
  • A US-based supplier may choose USD.

What currency will customers pay in?

Customers may see and pay for a booking in a different currency from the supplier's payout currency, depending on the customer's market, payment method, and the currencies supported by BookTourX.

For example, an Australian supplier may receive its payout in AUD, while an international customer may complete the booking in another supported currency.

BookTourX handles the applicable currency conversion as part of the payment and settlement process.

Can I change my payout currency?

The payout currency is selected during supplier onboarding and is used for supplier settlement. If you need to change your payout currency after onboarding, please contact the BookTourX support team so we can review the request and confirm the available options.

Tip: We generally recommend selecting the currency in which your business primarily operates and receives funds, typically the local currency associated with your headquarters or primary operating entity.

4. Who sets the prices?

You do. Suppliers set and control their own prices on BookTourX.

As a marketplace and distribution platform, BookTourX does not set the retail price for your tours, activities, attractions, transfers, or other experiences.

5. Does your platform require price parity requirements across OTA channels?

No, you are free to manage your rates. We do not impose strict price parity requirements.

However, we encourage suppliers to set attractive and competitive prices so that travelers enjoy great value — staying true to our mission of giving benefits back to both suppliers and travelers.

6. Can BookTourX change my prices?

BookTourX does not ordinarily set or change a supplier's base selling price. However, prices displayed to customers may differ from the supplier's base pricing when currency conversion, applicable taxes, fees, discounts, promotions, or other customer-facing pricing adjustments apply.

Where a listing is initially created with assistance from BookTourX using information from an existing supplier or OTA listing, suppliers should review and verify all pricing before submitting the listing for publication. Suppliers remain responsible for ensuring that their published prices are accurate and up to date.

PART III

Onboarding & Operations

1. What is the process to onboard?

Getting started with BookTourX is designed to be simple and straightforward, with no setup fee, subscription fee, or long-term commitment.

The typical onboarding process is:

  1. Create your BookTourX account

    Sign up for a BookTourX account and complete the supplier onboarding form. The initial application generally takes around 15 minutes, depending on the information and documentation required.

  2. Complete your supplier profile

    Provide your business details, contact information, payout details, and other information required for supplier verification.

  3. Submit your verification information

    Depending on your business and destination, we may request supporting information or documents to verify your business and ensure that experiences listed on BookTourX meet our supplier requirements.

  4. Add your experiences

    Create your listings with information such as descriptions, itineraries, pricing, availability, meeting or pickup information, booking requirements, and cancellation policies.

    If you already have your experiences listed on other platforms, our onboarding team may be able to assist with the initial listing setup using the relevant listing URL. You will still need to review and confirm the information before submitting it for publication.

  5. Review and submit your listings

    Suppliers can review, edit, and preview their listings through the Supplier Dashboard before submitting them for review.

  6. BookTourX reviews and approves the listing

    Our onboarding team reviews the supplier application and initial listings before publication. We may contact you if additional information or clarification is required.

  7. Your listings go live

    Once approved, your experiences can be published on BookTourX and made available for customers to discover and book.

2. How long does onboarding take?

The time required depends on the completeness of your application, the number of listings, and whether additional verification is required.

Our goal is to review completed applications and initial listings within a few business days, although processing times may vary during periods of high application volume.

3. Can I add more listings after approval?

Yes. There is no fixed platform limit on the number of experiences or destinations a supplier can list.

Once your supplier account is approved, you can add and manage additional listings through your Supplier Dashboard. New listings may be subject to review before publication.

4. Is there a cost to join?

No. There is no setup fee or subscription fee to join BookTourX.

Our standard commercial model is performance-based: a 5% commission applies to successfully confirmed bookings. If you do not receive bookings, there is no commission payable.

There is also no exclusivity or long-term commitment, so suppliers can maintain their other sales and distribution channels while using BookTourX as an additional distribution channel.

5. Who handles customer service?

You do. As the supplier, you are the primary point of contact for travelers and are responsible for customer support related to your experiences — from pre-booking questions and booking-related assistance to support during the experience and post-tour follow-up.

BookTourX provides the marketplace, booking and payment infrastructure, and platform support. For issues involving the BookTourX platform, payments, or matters requiring escalation, our team may step in to assist.

You remain directly connected with the travelers who book your experiences, allowing you to provide personalized service and build lasting customer relationships.

6. What contracts, paperwork, or KYC requirements do you have?

We keep the onboarding requirements as straightforward as possible while collecting the information needed to verify suppliers, process payouts, and maintain a trusted marketplace.

Depending on your business, location, and the experiences you offer, we may request:

  • Business information — such as legal business name, trading name, business address, contact details, website, and primary contact information.
  • Business registration or operating documents — such as a business registration certificate, licence, permit, or other documentation where applicable.
  • Identity verification — identification documents for the business owner, director, or authorised representative where required.
  • Supplier Agreement — suppliers are required to review and accept the applicable BookTourX Supplier Agreement and related supplier terms before participating on the platform.

7. Does BookTourX automatically sync availability with my booking system?

Not currently. BookTourX does not provide direct API synchronization with most third-party reservation systems.

If you use a booking system such as FareHarbor, Rezdy, Bókun, or another reservation platform, your BookTourX availability may therefore need to be managed separately unless another supported workflow has been agreed.

To reduce the risk of double bookings, suppliers can enable Manual Booking Confirmation for eligible listings. When a customer makes a booking request, you receive an email notification and can check your own booking system before confirming the request.

If you do not confirm the request within the applicable confirmation period, the request can expire automatically without a booking being confirmed and without a commission or cancellation penalty to you.

8. What happens when my availability changes?

Suppliers should update their BookTourX availability promptly whenever their operating schedule, capacity, inventory, or other booking conditions change.

For suppliers who do not have automatic availability synchronization, keeping availability up to date on BookTourX is particularly important to help prevent unavailable dates or double-booking situations.

BookTourX is continuing to develop its integration capabilities, and additional connectivity options may become available as the platform evolves.

PART IV

Cancellation Policies & Liabilities

1. What are the cancellation & refund policies?

To ensure fairness, we maintain a clear Cancellation & refund policy for both guests and suppliers.

  • Once a cancellation policy is set for a listing, it will apply to all bookings for that listing.
  • The cancellation policy must be clearly disclosed to guests; our system will display it automatically at checkout and in confirmation emails.
  • Refunds (when applicable) are processed by our platform back to the guest’s original payment method.

2. Guest Cancellations

What happens if a guest cancels a booking?

Guest cancellations are handled according to the cancellation policy attached to your listing at the time of booking. The applicable policy determines whether the guest receives a full refund, partial refund, or no refund.

When a guest cancels, BookTourX updates the booking status and applies the cancellation policy automatically. You and your team will be notified of the cancellation and any resulting change to the booking.

Will I be notified when a guest cancels?

Yes. When a guest cancels a booking, BookTourX will notify your team using the contact details associated with your supplier account. The cancelled booking will also be reflected in your Supplier Dashboard.

How is the guest's refund determined?

The refund is based on the cancellation policy selected for the listing and the time the cancellation is made.

For example:

  • Free cancellation until 48 hours before the experience: A cancellation made more than 48 hours before the start time may qualify for a 100% refund.
  • Partial refund policy: A cancellation within a specified period may qualify for a partial refund.
  • No-refund policy: Cancellations may not qualify for a refund.

The exact terms shown to the guest at the time of booking govern the cancellation.

Does a guest cancellation affect my payout?

If the booking is cancelled before your earnings become payable, the amount credited to your supplier wallet will be adjusted according to the applicable cancellation and refund terms.

If a cancellation occurs after your earnings have already been credited or paid out, BookTourX may make an adjustment to your supplier balance or future payouts where required to account for the refund.

What if a guest asks me directly to cancel their booking?

If a guest contacts you directly requesting cancellation, follow the cancellation terms shown on the booking and direct the guest to the appropriate BookTourX cancellation process where applicable.

Avoid promising a refund outside the published cancellation policy unless you are authorized to do so under BookTourX's applicable procedures.

Can I approve or reject a guest's cancellation request?

Where the listing's cancellation policy allows the guest to cancel directly, the cancellation is handled according to that policy and does not require your approval.

If a cancellation requires supplier action under the applicable booking workflow, you will receive instructions through BookTourX.

What happens to the booking after cancellation?

Once the cancellation is confirmed:

  1. The booking status is updated to Cancelled.
  2. The guest is notified of the cancellation and applicable refund.
  3. Your team is notified.
  4. The booking is removed from your active bookings and retained in your booking history.
  5. Any applicable adjustment to your supplier earnings is recorded.

Can a guest cancel after the free-cancellation period?

A guest may still request cancellation, but whether they receive a refund depends on the cancellation policy that applies to the booking.

If the free-cancellation period has ended, the booking may be subject to a partial refund or no refund, depending on the policy.

What if a guest does not show up?

A no-show is different from a guest cancellation. Unless your listing's cancellation policy or other applicable terms state otherwise, a guest who does not attend the experience may not be entitled to a refund.

If a guest does not show up, record the no-show according to the applicable booking procedure so the booking can be handled correctly.

Can I offer a refund even when the policy says no refund?

Do not independently promise or issue a refund outside BookTourX's established process. If there are exceptional circumstances, contact BookTourX support or follow the applicable exception process before confirming a refund to the guest.

What if the guest says they did not receive their refund?

If a refund has been processed through BookTourX, the guest should normally receive it through the original payment method. Refund processing times can vary depending on the payment provider and the guest's bank.

If the guest contacts you about a missing refund, you can direct them to BookTourX support for assistance with the refund status.

What if a guest cancels because of an emergency?

The applicable cancellation policy remains the starting point for determining the refund. If the guest requests an exception because of an emergency or other special circumstance, the case may require additional review under BookTourX's applicable policies.

Where can I see cancelled bookings?

Cancelled bookings remain available in your Supplier Dashboard's booking history so that you can review the original booking, cancellation status, and applicable financial adjustments.

3. Supplier Cancellations

What happens if I need to cancel a confirmed booking?

Supplier cancellations should only be made when necessary, such as when you are unable to operate the experience due to operational issues, safety concerns, severe weather, or other circumstances that prevent you from fulfilling the booking.

When you cancel a confirmed booking, BookTourX will update the booking status, notify the guest, and process any applicable refund according to BookTourX's cancellation procedures.

Can I cancel a booking whenever I want?

Supplier cancellations should be avoided whenever possible. Once a booking is confirmed, guests expect the experience to operate as booked.

If you are unable to fulfill a confirmed booking, notify BookTourX as soon as possible and follow the applicable cancellation procedure.

Repeated or avoidable supplier cancellations may affect your supplier account, listing performance, or eligibility to receive future bookings.

What happens to the guest when I cancel?

When a supplier cancellation is confirmed:

  1. The booking status is updated to Cancelled.
  2. The guest is notified of the cancellation.
  3. Any applicable refund is processed to the guest.
  4. Your supplier earnings for the cancelled booking are adjusted accordingly.
  5. The cancellation remains recorded in your booking history.

Will the guest receive a full refund?

A supplier-initiated cancellation will generally result in the guest receiving a refund for the cancelled booking, subject to BookTourX's applicable policies and the circumstances of the cancellation.

The final refund amount and treatment may depend on the booking, payment status, and applicable terms.

What happens to my supplier payout?

You will not receive supplier earnings for a booking that is cancelled and refunded to the guest.

If earnings have already been credited to your supplier wallet, BookTourX may adjust your wallet balance or future payouts to account for the refunded amount.

What if I need to cancel because of weather or safety concerns?

If weather conditions, safety concerns, government restrictions, or other circumstances make it unsafe or impossible to operate the experience, contact BookTourX as soon as possible.

Provide the relevant details so the cancellation can be handled appropriately and the guest can be informed promptly.

What if I cannot operate because of an emergency?

If an unexpected emergency prevents you from fulfilling a confirmed booking, notify BookTourX immediately.

Where possible, provide supporting information and explain the circumstances. BookTourX will determine the appropriate handling of the affected booking under its applicable policies.

What if I can offer another date instead?

If you cannot operate on the original date but can offer an alternative date, you may propose the alternative to the guest where the applicable booking workflow allows it.

Do not assume that the guest has accepted the new date. The booking should only be treated as confirmed for the alternative date once the required confirmation has been completed.

What if I want to cancel because there are not enough guests?

You should not cancel a confirmed booking simply because the number of guests is lower than expected unless your listing's published terms explicitly allow cancellation based on a minimum group size or other stated condition.

Any minimum-participant requirement should be clearly communicated to guests before they book.

What if the experience is no longer available?

If you can no longer offer an experience or the specific option booked by the guest, contact BookTourX as soon as possible.

Do not leave a confirmed booking unresolved or ask the guest to cancel solely because the experience is no longer available. You should follow the applicable supplier-cancellation process.

Can I ask the guest to cancel instead?

No. If you are unable to fulfill a confirmed booking, you should not ask the guest to cancel simply to avoid recording a supplier cancellation.

Instead, follow the supplier-cancellation process and allow BookTourX to handle the booking and refund appropriately.

Will supplier cancellations affect my account?

Supplier cancellations may be recorded as part of your supplier performance history. Frequent or avoidable cancellations may result in operational review or other account or listing actions under BookTourX's applicable policies.

Exceptional circumstances may be considered separately.

How early should I notify BookTourX?

Notify BookTourX as soon as you know that you cannot fulfill the booking. Earlier notification gives BookTourX more time to inform the guest and, where appropriate, help them consider alternative arrangements.

For cancellations caused by an immediate operational or safety issue, contact BookTourX without delay.

Where can I see my cancelled bookings?

Cancelled bookings remain available in your Supplier Dashboard's booking history. You can review the booking details, cancellation status, and any applicable financial adjustment there.

4. Refund Processing

Refunds are issued back to the original payment method within 14 business days, depending on the payment provider.

Marketing & Visibility

1. How will my tours be promoted?

BookTourX promotes supplier experiences through a combination of organic discovery, search-intent matching, destination and category pages, digital marketing, and broader distribution initiatives.

2. Can suppliers promote their own listings?

Absolutely. We encourage suppliers to actively share their BookTourX listings with their own audience.

Every published experience has a unique tour URL that you can easily share through:

  • Social media
  • Your company website
  • Email newsletters
  • Direct customer communications
  • Other marketing channels you already use

This can help you generate additional traffic to your BookTourX listing while giving your customers a convenient way to book through the platform.

3. Why promote my BookTourX listing myself?

Your existing audience is an important source of potential bookings. By sharing your BookTourX tour URL, you can combine your own customer reach with BookTourX's booking infrastructure and marketplace exposure.

Our performance-based model also means there are no upfront marketing or subscription fees. You pay a 5% commission only when a booking is successfully confirmed.

Because the commission is designed to remain competitive, suppliers retain a larger share of the booking value compared with many traditional OTA commission models. This can give you greater flexibility to manage your pricing and run your own promotions where appropriate.

4. Will every supplier receive the same exposure?

Not necessarily. Visibility is not guaranteed or allocated equally across all listings.

The experiences shown to customers may vary based on factors such as customer search intent, destination, relevance, experience category, availability, pricing, listing quality, seasonality, and customer demand.

BookTourX may also test and adjust how experiences are presented as we learn more about customer behaviour and demand.

5. Can suppliers pay for higher placement?

BookTourX's standard supplier model is performance-based, with no setup fee or subscription fee and a 5% commission on successfully confirmed bookings.

We do not require suppliers to purchase advertising in order to be listed on the platform. Where additional promotional or advertising opportunities become available, any applicable commercial terms will be communicated separately.

6. Does BookTourX guarantee bookings from promotion?

No. Promotion and distribution can increase an experience's opportunity to be discovered, but BookTourX does not guarantee a specific number of views, enquiries, or bookings.

Actual performance depends on factors including destination demand, seasonality, pricing, availability, customer preferences, competition, and the quality and relevance of the listing.

Our focus is to build a scalable international distribution channel that gives suppliers additional exposure and an opportunity to generate bookings without paying upfront marketing or subscription fees.

PART VI

Technology & Support

1. Is there a supplier dashboard/app?

At the moment, the supplier dashboard is accessible via web desktop only. A fully responsive version (optimized for mobile and tablet use) is currently under development.

This will make it easier to manage bookings and availability on the go.

2. Do you provide API/tech integration?

Not yet — API and third-party system integrations are on our roadmap.

Our goal is to make it seamless for suppliers to connect their existing booking systems directly with our platform. We’ll notify all suppliers via email as soon as integrations become available.

3. What support is available for the host?

We provide dedicated support to help hosts succeed on our platform. This includes:

  • Onboarding assistance – step-by-step guidance by account managers and customer success team to get your account and listings set up.
  • Help resources – access to our knowledge base, FAQs, and tutorials.
  • Responsive support team – available via email and chat for day-to-day questions.
  • Account updates – important news (such as payout changes or new features) sent directly to your email.
